How to set up Shared Access
What is Shared Access?
Just as it sounds, Shared Access allows you to share access to your account's data to one, or multiple other accounts. You can choose to grant full access to your secondary accounts (the accounts you share access with) allowing them to read and edit shared data, or read-only access. You can further restrict the access granted to your secondary accounts by a selection of author names.
This new model of data sharing unifies our master/secondary and downstream/upstream functionalities to simplify this process for our users and for our team to maintain.
- Grant full access to a user to give them read and write permissions to your entire account, or only to a specific list of author names (master account)
- Grant read-only access to a user to give them read permissions to a specific list of author names (downstream account)
Grant Full Access to another account
This allows you to log in to one account (management) and manage one or multiple other existing, subscribed and synchronized accounts (secondary) from that same login. You will have access to read and edit all data available for your secondary accounts. This is equivalent to the legacy master/secondary account model. You can also restrict the full access to a subset of authors, specified in your secondary account's profile settings.
1. Register your secondary accounts
- If you already have accounts synchronized, you can skip this step
- You will need to register 1 Publisher Champ account per Account you want to manage.
- For example, if you have 2 KDP accounts (1 as a sole trader and 1 registered under your business), then you will need to register 2 Publisher Champ accounts!
- After your register your accounts, follow our Account setup tutorials, to synchronize your KDP accounts and your Ads data
2. Register your management account
- If you already have an account registered, you can skip this step
- Register 1 additional Publisher Champ account to be used as your management/master account
- If this account is solely to be used to manage your secondary accounts, you may ignore the account setup tutorials and popups. These will disappear once access has been granted
3. Link your secondary accounts to your management account
- Log in to one of your secondary accounts
- Go to My account > Settings and head to the Shared Access tab
- Enter the Publisher Champ email address of the main account you want to grant access to! Just make sure that this is a valid Publisher Champ email address
- Set the access level set to 'Full access'
- Leave the authors selected to all to grant your management account access to all of your data, otherwise, select only the author names you want to share
- You may optionally set an 'Access alias' using the input box at the top of the form. This is completely optional and will be displayed to your management account alongside your email address when referencing this account
- Click the 'Save Changes' button to grant access to your main account
- Repeat this process (steps 1- 3) for as many secondary accounts as you have
4. Log in to your management account
- Log back in to your management account
- Manage your secondary accounts by using the account selection tool at the top left of each page to select one or multiple of your linked secondary accounts
- Publisher Champ will use your selection to show you the correct data for your applied selection
Grant Read-Only Access to another account(s)
This allows you manage multiple books for multiple authors, synchronized with one main account and share access to that data with multiple other accounts in read-only capacity. You can choose which author names to share with each of your other accounts. Your other accounts will only have access to read data available for the selected author names. This is equivalent to the legacy upstream/downstream (shared revenue) account model.
1. Register your read-only accounts
- Register and subscribe as many read-only accounts as needed
- You may ignore the account setup tutorials and popups. These will disappear once access has been granted
2. Grant access to your read-only accounts
- Log back in to your main account. This is your account that is synchronized and holds all the data you want to share
- Go to My account > Settings and head to the Shared Access tab
- a) Enter the Publisher Champ email address of the account you want to grant access to! Just make sure that this is a valid Publisher Champ email address
- b) Select 'Read-only' as the access level
- c) Select the author names you wish to share with this user. Only data for the selected author names will be shared with this user
- Click the 'Add another account' button to add a new row in order to share access with another account, or, click the trash icon to remove a row. Then, repeat steps 2a to 2c for as many accounts as required
- Click the 'Save Changes' button at the bottom of the page to save your changes
Please note: You may Optionally set an 'Access Alias' via the input box at the top of the form. This will be displayed to your read-only accounts when referencing your main account. If you leave this blank, your email address will be displayed to your read-only accounts instead
3. Success!
- After successfully saving your changes, your read-only accounts will be able to view the data for the selected author names specified
